It's More Than Paper: Why Guest-Facing Collateral Matters

One of the first things I notice when I check into a hotel isn't the lobby, the guest room, or even the amenities.

It's what's inside the key packet.

Over the years, I've opened countless key packets to find a photocopied flyer that was clearly meant to be temporary. You know the kind - a copy of a copy of a copy, cut by hand because someone realized at the last minute they were out of the original. The edges are crooked, the logo is faded, and you can't help but wonder whether the information is even still accurate.

I get it. Hotels move fast. Sometimes a quick fix is necessary.

The problem is that temporary solutions have a way of becoming permanent ones.

Every piece of guest-facing collateral represents your hotel. Whether it's an elite member welcome letter, a restaurant promotion, a parking guide, a property map, or information about your amenities, it all contributes to the guest's first impression. Those pieces should feel like they belong to the same brand the guest saw when they made their reservation.

Sometimes the improvements are simple.

A campus map tucked into the key packet, complete with a QR code that opens a larger interactive version on a mobile device.

A professionally designed insert introducing your newly rebranded restaurant or highlighting your in-room dining experience.

None of these ideas are groundbreaking on their own. But together, they communicate something important: that someone cared enough to think about the guest's experience before they ever opened the door to their room.

Hospitality is built on details. The small touches often become the memorable ones.

So the next time you look at the collateral in your key packet, ask yourself one question:

Does this reflect the experience we're trying to deliver?

If the answer is no, it might be time for more than just another photocopy.
